Terms and Conditions
Acceptance Agreements
Before recipients are sent a notebook by the Notebooks Team, they must complete and accept the Notebooks Program’s Terms and Conditions. It is the recipient’s responsibility to be familiar with the terms and conditions and abide by the requirements. If a recipient receives a notebook that has been reallocated to them the recipient must accept the Notebooks Program’s terms and conditions online. Before a notebook is sent to an applicant on the waiting list, they will be emailed the terms and conditions and must have agreed to accept them.
Failure to complete the online acceptance agreement will result in the Notebook not being allocated. The following must be performed to accept the Notebooks Program’s terms and conditions online.
- Ensure all browsers are closed before commencing. Sign into Eduweb notebook program (http://www.eduweb.vic.gov.au/forms/school/notebooks) using your EduMail username and password.
- Read the terms and conditions carefully.
- Fill in your personal details.
- Ensure the correct notebook model and price is listed at the bottom of the agreement.
- Submit the form online.
- Print a copy of the agreement for future reference.
If you are unable to access the agreement, contact your school technician to ensure your DNS settings are correct.
The Terms and Conditions can be viewed at any time after acceptance by going to the Eduweb notebook program (http://www.eduweb.vic.gov.au/forms/school/notebooks) and logging on using the recipient’s EduMail login details.
Important information
Recipients must complete the online acceptance agreement when a notebook has been reallocated to them, and before a notebook will be sent from the waiting list or at the commencement of a lease.
It is the responsibility of the notebook recipient to be aware of the terms and conditions of the notebook program and to abide by these conditions.
The Terms and Conditions can be viewed at any time after acceptance by going to the Eduweb notebook program (http://www.eduweb.vic.gov.au/forms/school/notebooks)and logging on using the recipient’s EduMail login details.
Notebook maintenance
As per clause 4 of the terms and conditions of the Notebook Program:
- recipients must ensure the notebook is fully operational at all times and is used in accordance with the manufacturer’s instructions by obtaining warranty support and repairs from the relevant suppliers helpdesk (Apple or Lenovo) as soon as this is required. See Hardware Support
- recipients are responsible for the security of the notebook and associated accessories.
When notebooks must be returned
As per clause 3 of the terms and conditions of the Notebook Program, recipients must return notebooks to the school notebook representative (SNR) or principal of their school as soon as they:
- resign, retire or cease employment with the Department
- cease to be paid on the central payroll (i.e. paid on local payroll only)
- commence leave without pay for a period any longer than six months (notebooks to be returned before commencement of leave)
- commence WorkCover in excess of 52 weeks
- commence payment from superannuation and/or temporary disability benefit
- are no longer eligible for a notebook due to change in their classification (no longer teacher, principal or instructor).
- are on secondment to Central or Regional office for a period in excess of six months.
Notebooks must be returned at the end of the notebook’s lease. It is the recipient’s responsibility to be aware of the date on which their notebook’s lease will end. Please check with your school notebook representative for information.

EduMail
Notebook recipients must check their EduMail accounts regularly for the entire time they are in possession of a leased notebook, even whilst on leave. This is because all communication regarding the notebook team is via EduMail.
Please note: Information may be sent regarding the return or replacement of the recipient’s notebook. Failure to check this may result in a recipient missing out on a replacement notebook, or being charged for the non-return of their notebook.
Loss or damage
As per clause 4 of the terms and conditions of the Notebook Program, recipients must complete an insurance claim if their notebook is lost, stolen, beyond economical to repair or for accidental damage.

Notebook contribution payments
As per clause 2 of the terms and conditions of the Notebook Program, the Department leases notebook computers. These computers are available to eligible principals, teachers and instructors upon regular usage contribution fees made to the Department. These amounts are taken automatically from the recipient’s pre-tax salary.
Recipients are responsible for these payments for the entire time they are in possession of a notebook. If a recipient retains a notebook after their salary ceases, recipients will be required to authorise a lump sum deduction from their salary, or will be sent an invoice to recover the missed payments.
Notebook recipients should check their payslips regularly and notify the Notebook Team of any error.
Unpaid leave
As per clause 4 of the terms and conditions of the Notebook Program, if a notebook recipient commences unpaid leave for a period any greater than six months, the notebook must be returned before commencing leave.

If a notebook recipient commences unpaid leave for a period less than six months, they may retain their notebook. However, they must notify the Notebook Team of the exact dates of their unpaid leave, and authorise a lump sum deduction of the payments that will be missed
International teaching fellows
Notebook recipients who are going overseas as international teaching fellows are permitted to take their notebooks overseas during the exchange. Recipients will have to take out extra insurance to the value of $2500 whilst overseas as notebooks are not covered outside of Australia.
If a notebook lease is due to expire while the recipient is overseas, this notebook must be returned to the school before going overseas. The Notebooks Team will send out another mid-lease notebook to replace it. This will be any notebook of which the lease is not due to expire during the year of international exchange.
