Replacement of End-of-lease Notebooks

The Department leases notebooks on  leasing cycles. As per current policy and leasing arrangements with the lessor, the Department is contractually obliged to return all end-of-lease notebooks to the lessor.

Eligible notebook recipients have the option to be nominated to receive a replacement notebook at the end of lease for their current unit.  This is referred to as a replacement rollout.

Recipients, school notebook representatives (SNRs) and principals will be notified when a particular round of notebooks is due to be returned/replaced.  Instructions and deadlines for the nomination, delivery and return processes will be outlined.

Rollout process

Nomination process

Step 1. Recipients complete the ‘Nomination Preference Form’ (to be sent before each rollout) and deliver to SNR.

Step 2. SNRs complete the online nomination process and inform the recipients when this is complete. See: Nomination instructions (Word - 403Kb)

Step 3. Once they have been nominated, recipients are to complete the online acceptance of the terms and conditions by the due date set. See: Terms and Conditions

Delivery and return process

Step 1. Replacement notebooks are delivered to schools labelled with the recipients’ names.

Step 2. Recipients must return old notebooks to SNRs in good working order complete with all accessories. SNRs arrange for technicians to complete data changeover. DEECD will pursue cases where notebooks are returned in damaged condition.

Step 3. Replacement notebooks are given to recipients. Notebooks must be given to the correct recipients as per the label on the notebook box.

Step 4. SNRs complete the online end-of-lease notebooks return form by the due date set, and ensure that all returned notebooks are boxed, labelled and ready for collection. See Instructions for end-of-lease notebooks returns (Word - 436Kb)

Step 5. Recipients and SNRs need to complete and sign copies of the Notebooks Return Checklist. 1 Copy is to be kept at the school and another returned with the notebook. See Notebooks Return Checklist (Word - 57Kb)

DEECD will pursue cases where notebooks are returned in damaged condition.

End-of-lease notebook returns – invoices for non return

As per clause 4 of the terms and conditions of the Notebook Program, if an end-of-lease notebook is not returned by the notebook recipient by the due date, the recipient will be charged the full purchase price of the notebook plus $100 satisfaction cost (and any outstanding payments).

If an end-of-lease notebook is returned by the notebook recipient by the due date, but the school does not complete the correct online returns process by the due date given, the school will be charged the purchase price of the notebook plus $100 satisfaction cost.

Failure to return end-of-lease notebooks results in the Department being penalised. These costs are then passed on to the recipient/school. Notebooks cannot be returned to the lessor after the due date as the lessor will not accept them.

Recipients will be notified which models will be available to select as a replacement notebook, as well as the fortnightly contribution rate for each model.
