Frequently asked questions

Answers to Frequently Asked Questions about CASES21 are available in the Self Help Information section on the Service Gateway.

Q: Where can I find information on how to use CASES21

A: Refer to the CASES21 Administration User Guide or the CASES21 Finance Business Process Guide for comprehensive information on using  CASES21. You can also log on to the Service Gateway and search the Knowledge Bank for other relevant information. You will need your EduMail PIN and password to access this information.

Q: Is CASES21 available to schools which are not Victorian government schools?

A: No.

Q: Can my school use external products with CASES21?

A: Various commercial products are already available to support schools in functions such as timetabling, student reporting, roll marking and library systems. Interfaces are being developed to facilitate school use of these products with CASES21.

If you are considering using a third party product that you think has some overlap with CASES21, check with the vendor to see if their product uses any information from CASES21 or provides any information to CASES21. You may find it helpful to ask the vendor for the names of other Victorian government schools currently using their product so you can research the ease of use of this product and its CASES21 interface functionality.

For more information, see: Student Attendance - Guidelines on the Student Wellbeing web pages.

Q: Does CASES21 provide timetabling support?

A: Yes. CASES21 provides basic timetabling functionality which can be used to generate and maintain a school timetable. Details of timetables generated outside CASES21 can also be imported into a CASES21 timetable. Maintaining timetable details in CASES21 allows schools to record student absences at the period level and supports the Daily Organisation functions of the school. CASES21 also provides student downloads suitable for use with external timetabling products.

For more information, see the CASES21 Timetabling Guide - you will need your EduMail PIN and password to access this information.

Q: How can I ensure my school uses the recommended hardware and that it is correctly configured?

A: Information on the current CASES21 hardware available to schools can be accessed via the Information and Communication Technology website.

A School Environment Configuration Checklist is also available so schools can ensure their school CASES21 equipment and associated applications are upgraded to the latest versions. You will need your EduMail PIN and password to access this information.

Q: What do I do when my CASES21 equipment has been stolen or damaged?

A: It is the school's responsibility to act to replace stolen equipment. To start the process, contact the Department Service Desk to make an insurance claim.
