Leave Approval Options

 

The Secretary has delegated the authority for decisions about leave to the Principal.  As the Principal is the only person in a school that has this authority, eduPay has been designed to meet this requirement.

The following options are available for use in managing leave in the school

 

1. Principal actions all ESS Leave requests in Manager Self Service

Leave Approval model A

 In this Option

  • All leave requests are sent to the Principal for decision and action.
  • If the Principal submits a leave request, the request will be forwarded to the Regional Director for decision and action.
  • Normal verification tasks are performed by the HR Administrator to confirm dates and hours entered including receipt of any required documentation (eg medical certificate).

As this is the default model, no action is required if this is the preferred option.

This option may be used by the Principal in conjunction with Model A, B or C of the email management models (see Other Resources below).

 

2. Short-term delegation of leave approvals in Manager Self Service

Leave Approval model B

In this option

  • The Principal is taking leave and delegates the leave decision process to the Acting Principal during that time.
  • The delegation is for a specified period and is end-dated.
  • All leave requests are sent automatically by eduPay to the Acting Principal for decision and action.
  • Normal verification tasks are performed by the HR Administrator to confirm dates and hours entered including receipt of any required documentation (eg medical certificate).
  • If the Acting Principal submits a leave request the request will be forwarded to the Regional Director for decision and action.

This option may be used by the Acting Principal in conjunction with Model A, B or C of the email management models (see Other Resources below).

 

3. Long Term delegation for leave processing in Manager Self Service

Leave Approval model C

In this option

  • The decision process for Leave is not delegated, the Principal retains this responsibility
  • The Principal nominates a proxy to process the leave approvals on their behalf in MSS (eg: Business Manager, HR Administrator or other person involved with administering leave in the school)
  • Delegation is not end-dated.  Proxy retains delegation until revoked or the Principal resigns/retires and an Acting Prinicipal is placed.
  • All leave requests are sent automatically by eduPay to the Proxy for processing.
  • All Personal Leave (sick/carers) is finalised by Proxy after confirmation of dates, hours and receipt of any required paperwork in accordance with Departmental policy without referring to Principal
  • All other leave submitted through ESS is processed in MSS following direction from the Principal
  • The school’s leave policy determines timing for discretionary leave applications
  • Proxy applies for leave through current established process.  If the Proxy applies for leave in ESS then this will be forwarded to the Regional Director, which may not be the desired outcome.

The Proxy may choose to more easily manage the system emails using Model A or C of the email management models (see Other Resources below).
