Checkpoint 12.1 - Core

All PDF and MS Word documents contain metadata

DEECD Requirement

DEECD Guideline

Metadata contributes to allowing online documents to be discovered by search engines and assists in the cataloging and management of documents. Both MS Word and PDF documents have the facility of storing metadata about the documents within the document itself.

Requirement

All MS Word and PDF documents must contain metadata within the documents themselves.

Recommendation

Check that the source MS Word or other documents contain the required metadata before creating PDF documents from them. Verify that metadata is in the newly-created PDF.

Checking Tool

Procedures for editing and checking metadata (Word - 38KB) can be viewed for both MS Word and PDF documents.

  • MS Word - navigate to File > Properties > Summary
  • PDF - navigate to File > Properties > Description
