eduPass Frequently Asked Questions

What is eduPass?

eduPass allows you to register, set up and manage your password, secret questions and answers, and other details. It is your pass to the Department’s services, giving you entry into the secure systems and applications you’re granted access to.

Students and eduPass
As a student from a government school, you will receive a letter from your school about how you can register. This letter contains your personalised UserID and a temporary password, which are needed for registration.

If you do not have a registered account, please contact your school.

Parents and eduPass
As a Parent/Guardian of a child from a government school, you will receive a letter from your school about how you can register.

If you do not have a registered account, please contact your school.

Casual Staff and School Visitors and eduPass
Casual staff and school visitors, who need to use DET secure systems and applications, will need to register with the school eduPass administrator.

Casual Staff and School Visitors will receive a letter from their school with important information and instructions to activate their accounts.

Department Staff and eduPass
Department staff will use eduPass to access their account management. This can also be accessed directly through eduPay, eduWeb and eduGate. All online training materials, learning guides, fast cards and resources can be accessed

Community members and eduPass
Community members will use eduPass to access the eduPass Portal. Here they can register for an eduPass account, manage their account and also access the eduPass portal for delegated administrator tasks.

Shared Services
Shared services is an area dedicated to other areas of government. A place where once registered entities can be advised on other areas that are available to them. Here you will find information on eduPay and more.

What will I use eduPass for?

You can use the eduPass system to:

  • Register an account to gain access to secure systems and applications
  • Reset your password if you forget it
  • Change your password or
  • Change your secret questions and answers
How do I register and use eduPass for the first time?

All: You must have received your welcome letter before you can register. Go to the registration website address sent to you in your welcome letter, then

  • enter the UserID and password from your welcome letter into the registration screen
  • change your password (to one that complies with the password policy information) and confirm it
  • create your secret questions and answers
  • exit the registration site and go to the website you wish to access

Community members:
You will receive an invitation to an application or you can register directly through the eduPass portal.

How do I setup an email account?

There are many ways to set up an email account, some of which are free.

If you have the internet at home, check with your Internet Service Provider (i.e. the company you pay for your internet connection) whether they can provide you with an email account. You may already have one that just needs to be activated. Your internet provider can talk you through the process of how to use your email.

If you don’t have the internet at home, you can book an internet session at your local library or ask your child’s school if they can give you access at the school.

If you don’t have an email account, you may go onto the internet and search for ‘free email account’. This will give you a list of links with information about different free email services which are provided by third parties. You may look around by clicking on these links and reading what is offered, or ask people you know who use free email about their email service.

The Department of Education and Training does not endorse or recommend the use of any particular free email service for setting up an email account. Examples of free email services that are commonly used include Hotmail, Gmail and Yahoo.

You should be aware that free email services will usually have their own terms and conditions of use and allow an email account to be set up online by following the instructions provided about using the service. The Department does not accept any responsibility for your use, or inability to use, any free email service and you do so entirely at your own risk.

After you set up an email account, check that you can receive emails to your new email address. We will send messages to this email address when you register

How long does it take to register?

Full registration takes about 15 minutes. Once completed it may take up to 24 hours for your access to be granted.

Does it matter if I dont register?

Yes, DET applications and systems, (like secure websites not open to the general public) are not accessible until you register.

Casual Staff, School Visitors, Department Staff, and Community members:
Please contact DET Service desk for any difficulties with registration.

What if I cant log on to register?

Students, Parents:
Try again and enter the exact uppercase and lowercase letters, and numbers as printed in your welcome letter. If it still doesn’t work, check you have spelt your UserID and password correctly, and then ask your teacher or school eduPass administrator for help.

Casual Staff, School Visitor, Department Staff, and Community members:

What should I do if I lose my welcome letter?

Students, Parents:
If you lose your welcome letter before you register, tell your teacher or school eduPass administrator immediately. They will print another welcome letter for you.

It doesn’t matter if you lose your letter after you register, as no one else can log on with your old password. However, you should dispose of your welcome letter in a secure manner (i.e. destroy it) when you no longer need it.

Casual Staff, School Visitors and Department Staff:
Please contact DET Service if you lose you welcome letter and another letters will be printed for you. It doesn’t matter if you lose your letter after you register, as no one else can log on with your old password. However, you should dispose of your welcome letter in a secure manner (i.e. destroy it) when you no longer need it.

Community members:
If you lose your invitation to an application, you can request another invitation via the eduPass portal.

What are the definitions of each user group?
  • Students attending a Victorian government school
  • Parents of students at a Victorian government school
  • Casual staff including Casual Relief Teachers (CRT’s) working at a Victorian government school, or a student in a non-teaching capacity.
  • School visitors involved with a Victorian government school, or a student, in a non-teaching capacity, including volunteers such as artists, scientists, university students or lecturers, police officers, incursion presenters, case workers or other subject matter experts whose input add value to a learning program or collaborative activity.
  • Departmental staff including Departmental staff in schools
  • Community members including independent schools, catholic schools and non-government organisations
  • Government Shared Services links to public payroll management system eduPay, information and direction to Global Information Systems - GIS, links to Research public and government and information and links to websites relating to data provisioning.
Will my password expire if I dont register within a certain time?

Yes. Your temporary password will expire in 30 days, so it is important to register as soon as possible.

Can I change my UserID?

No. Only an eduPass administrator can change your UserID. This will only be done if your UserID is embarrassing or offensive.

What if my computer is disconnected in the middle of registration? Will my details be saved?

No. You need to complete all steps in one sitting to successfully register. If you are disconnected or cancel the process before finishing, the information you entered won’t be saved. You can cancel registration at any time, but you’ll need to start from the beginning again. Registration takes 15 minutes.

What should I do if I think someone else has logged on as me?

Tell your school eduPass/IDAM administrator immediately if you have any concerns about the security of your account. If you think someone is logged on as you, then your password, PIN or secret questions might be compromised. Change them immediately.

Whats the difference between casual staff and school visitor?

Casual staff - including casual relief teachers (CRTs) - are paid locally by schools and dont have a Human Resources record number with the Department.

A school visitor is a person involved with the school, school council or a student in a non-teaching capacity who requires access to the Departments secure systems and applications.

School visitor examples include: artists, scientists, university students or lecturers, police officers, incursion presenters, case workers or other subject matter experts whose input add value to a learning program or collaborative activity.

I am a parent and a casual staff member. Can I use my parent UserID and password when working as a casual staff member at a school?

No. You need to keep all accounts separated. In this case, you need two different accounts – one as a casual staff member and one as a parent. Each gives you access to relevant information.

What should I do if Ive forgotten my password?

Once you’ve registered and activated your account, you can manage your own password from the eduPass website. If you forget your password, go to the sign in page or follow the links below to Password Management in your user group.

How do I change my password?

Why do I need a password, security questions and a PIN?

These are used to protect personal information about you and other eduPass users, particularly the students in your care. They prevent someone else from accessing your eduPass account pretending to be you.

Follow these basic rules to keep your account and information safe:

  1. Always log off or lock the computer when you leave it unattended
  2. Never let anyone else know your password or security questions and answers.
  3. If you think any of your security details have been compromised, change them immediately.
  4. Make sure no one sees your secret answers, PIN or password entered on a computer.

What should I do if Ive forgotten my security questions or answers?

Ask the eduPass/IDAM administrator at your school to reset your password for you. If you arent sure who this person is, ask your principal. Once your password has been reset, you can change your security questions and answers or PIN to ones that you will remember.

If you know your password, you go to Account Management to change your secret questions and answers, as well as your PIN.

How do I change my personal details?

To see how to change your personal details you can go to the resources link and go to the fast cards sections. This will be called, Account Management. Or you can go directly to the link ‘Account Management’ here.

Youll receive an email confirming changes to your personal details. However, if you change your email address, the email confirmation will go to your new email address. You will also get an email to your old email address informing you that your account email address has changed.
